Charisma Italy Ltd is a UK registered company so payments can be made either in euro into our UK Euro business account or in sterling by agreement. Our director Annie Peacock will deal personally with the planning of your wedding day.
Before we start any work on your request, we will require an non refundable fee of £300. On confirmation of the wedding, this fee will be transferred to a deposit and offset against your final Invoice.
Upon confirmation from the Church/Town Hall/Venue a deposit of 30% is required of our organisation fee. Please note that some town halls may require the actual wedding service costs to be paid on booking. All subsequent wedding services, once booked, will also require a deposit of 30% but these are only booked once the couple has confirmed and is completely happy.
Confirmation will be issued, confirming all the wedding details arranged to date from time to time. Cancellation or alteration of services by a client subsequent to the issue of the confirmation invoice will incur charges as set out below.
TERMS OF PAYMENT
30% of our assistance fee plus 30% of the total amount for each additional service booked, to be paid on confirmation
Balance to be paid when documentation is sent, no later than 60 days before the wedding date. In busy wedding season periods or in the case of late client decisions regarding the wedding, we may be obliged to invoice the client later than the 60 days prior to the event.
Payment to be made bank transfer.
All services are quoted in euros and should be paid in euros, though in some circumstances we do accept equivalent payment in sterling.
Please note we cannot accept cash payments.
CANCELLATION CHARGES
There are many suppliers who are involved in arranging wedding services and deposit payments to them take place as soon as the 30% deposit is received from the couple and the booking confirmed. Some of these are small suppliers who will have committed their services and who will be unable to find alternative business.
In the event that the wedding, event, or service is cancelled, a cancellation charge will be due. The amount due will be dependent on the amount of notice given (see below). If you wish to cancel a confirmed booking of the wedding, event or service, this must be done in writing by the person who has made the booking. Cancellation takes effect from the date we receive your cancellation by registered post. Cancellation charges will be calculated as set out below:
60 days or more prior the event – Loss of deposits
45-36 days prior – 50% of total wedding costs or deposits if greater
35-21 days prior – 80% of total wedding costs or deposits if greater
20-0 days prior – 100% of wedding costs
Cancellation period and fee are dictated by the Wedding date and from when written cancellation is received by us. All cancellations must be received in writing by recorded delivery and not by e mail or fax or normal post. The cancellation is not effective until such confirmation is received by the company.
It is important to note that if the cancellation takes place less than 60 days before the wedding then the client will be liable for the percentage costs of the wedding as shown in the above schedule.
In some cases such as catering and hotel services, or any other supplier servies, Charisma Italy Ltd will have committed to a written agreement with those services. If Charisma Italy Ltd is pursued for penalty costs on those services which are higher than the deposit already paid, then the client will be held responsible for such payments.
As an act of goodwill, in the case of cancellation of an event or service, Charisma Italy Ltd will endeavour to recoup from or negotiate with the principal suppliers on behalf of the client but it cannot guarantee that any of the terms above will be changed or charges will be retrieved. Hence our strong advice that adequate insurance is taken out against any cancellation charges. We are happy to advise couples where they can take out suitable insurance.
Charisma Italy Ltd is not responsible for events or situations beyond its direct and effective control. Without limitation the following examples are factors beyond our direct control: bad weather, heavy traffic, accident, labour disputes, currency exchange rate fluctuation, strikes, civil disorder, war, acts of God, loss of employment, fear of the unknown, or failure of “third party service providers” to perform to client’s satisfaction and as scheduled on the event.
We require all our clients to take out a suitable and full insurance cover, and in the instance of weddings and events, to ensure this covers cancellation, property damage, damage to the venue, and public liability.
Please also note that it is the responsibility of the couple to ensure that documents required for both civil and church weddings are acquired in good time. We will advise you in full and in good time regarding the documents required and of the necessary timing but we cannot be held responsible for eventual problems caused by late delivery or incorrect preparation of the necessary documents.
OUR ASSISTANCE AND ADMINISTRATION FEES
Our basic administration and assistance fee includes all paperwork and documentation, pre and post the wedding, advising on documentation that should be acquired in the UK (or elsewhere) dealing with the relevant Italian civil authorities for the booking of the town hall or location, arranging for the official translation and Italian legalisation of all UK documentation, arrangement of the church and liaison with church officials, assistance and translation at the Sworn Declaration and Civil Ceremony or religious ceremony, registration of the Act of Marriage at the after the wedding, and our presence up to and including the wedding ceremony.
Organisation of post wedding celebrations is not covered by our basic fee and will be costed depending on the work involved. This will be discussed and agreed in full with the couple in the early planning stages.
Marriage Registration fee after the wedding. Please note that in some cases, depending on the nationality of the couple, documentation may have to be arranged in their own country and in this case they are responsible for the documentation fees. We will advise the couple of this where necessary.
Town Hall fees, where applicable, will be confirmed to the client, and have to be paid directly by Charisma Italy Ltd to the Town Hall. In some cases payment is required on booking.
Any other services required, such as organisation of reception, transports, photography, accommodations, beauty services, music, lighting, catering , activities, entertainment and any other service required for the event or wedding etc, will be on request and will be detailed and quoted for separately. No service will be booked on behalf of the client until we have full confirmation from the client, which can be by e mail, fax, phone, text or letter. In the case of cancellation of such services by the client, the cancellation terms as described above will apply.
